# Introduction

### >>> <mark style="color:red;">SINCE OUISHARE WAS COMPOSTED IN 2023, THIS HANDBOOK IS NO LONGER MAINTAINED. THIS SPACE SERVES AS A POTENTIAL SOURCE FOR INSPIRATION AND INFORMATION</mark>

## Welcome to the OuiShare Handbook!

**This handbook gives insight into the structures and practices of OuiShare's distributed network. It aims to make it easier for people to understand how we work, join and navigate the community.**

To find more introductory information about OuiShare, check our website [ouishare.net](http://ouishare.net). For in-depth reading in English, French, Spanish and German, go to the [OuiShare Magazine ](http://magazine.ouishare.net)or any of our [other media.](http://ouishare.net/en/media) If you are curious about more aspects of how OuiShare functions, go to [**opensource.ouishare.net**](http://opensource.ouishare.net)**.**

## About this Handbook

This Handbook's primary audience is members of the OuiShare network, as well as others who might find it useful and would like to understand better how OuiShare works.

As is OuiShare, this book is in permanent beta. That means that it won't ever be complete, but is a **living document** that will change and grow over time. It was started by Francesca Pick and Esra Tat. Much of it hasn't been written yet and depends on active members to contribute. If you see something that is missing or could be improved: just do it! Find out more about editing the handbook.

## Structure

This book contains OuiShare's most "static" knowledge and could be described as part of our "constitution". For more dynamic resources from the OuiShare community, check the [Knowledge Map](https://www.mindmeister.com/823981349/knowledge-map) on MindMeister.

# A brief history of OuiShare

It all started in 2011 in Paris. Scroll through our timeline below to read more about how OuiShare has evolved since 2011!

***And here in short:*** In Fall 2011, a small group of collaborative economy enthusiasts started meeting every month in Paris for potluck dinners. Most of these people had met through Antonin, who had launched the first French blog about collaborative consumption the year before, and was curating a Facebook group we were using to share ideas and knowledge about the collaborative economy. Conversations were passionate, and there was a shared feeling they could lead to something more.

From this collective energy, one core idea emerged: we wanted to better understand the change underway and accelerate the transition to a more meaningful society by empowering the pioneers of the collaborative economy from across the globe.

On January 2nd, 2012, we decided to give this project a name, and that was the official birth of OuiShare. The very first OuiShare Drink in Paris brought together 100 collaborative economy enthusiasts, and was soon followed by other meetups in other cities.

Later in May we invited them all to join us for very first OuiShare Summit in Paris. This milestone event officialized the global scope of the project, as well as the foundation of OuiShare as a non-profit organization (association) co-founded by four people: Flore, Antonin, Edwin and Benjamin, who had been leading the development of OuiShare over the past months.

After this, OuiShare quickly spread beyond the borders of Europe, to Latin America and the Middle East, thanks to an amazing international team of Connectors.

# The OuiShare Values

A lot of things happen in OuiShare not because we have strong processes or good managers but because we share a same culture and values that help to make things happen.

An initial set of OuiShare values was defined in 2012 at the second OuiShare Summit. Then, since we are in permanent beta, In 2017 we went through a process to make a new version of this list of values.

Here is the new set of values that describe our mindset. *FYI the wording may evolve in the coming months when the communication people will work on sharing this new ste outside our community.*

## **Permanent Beta**

* Always a work in progress.&#x20;
* Learn by doing, improve by reflecting, giving feedback and iterating.&#x20;
* Keep playing

## **Do-ocracy**

* Don't wait to Do good.&#x20;
* Celebrate autonomy and initiative-taking within an interdependant network.&#x20;
* Actions speak louder than words.

## **Openness**&#x20;

* Open-minded: Open to new ideas.&#x20;
* Inclusiveness: Open to diverse people with diverse perspectives.&#x20;
* Transparency: Open access to inner workings and open decision making
* OpenSource: We share.

## **Collaboration**&#x20;

* Together we go further.
* Magic happens when we meet in real life.

## **Care**

* Care of your own journey,
* Care for each other,&#x20;
* Care for the commons and for the planet.
* Three legs of a single stool.&#x20;

## How were these values created?

# People

## Context

Due to its emergent nature, **all roles in Ouishare are dynamic**. Ouishare members are likely to move in and out of different roles over time. Roles are not permanent titles that you have a right to once gained.&#x20;

The following descriptions give an overall frame and express intentions for what we these roles mean in Ouishare. **This frame is universal to all Ouishare communities**, but may have **different interpretations** in each **local community**. Therefore the roles are written in a way that leaves space for each community and Connector to choose how they would like to fulfill certain intentions.&#x20;

{% hint style="success" %}
*This role agreement was last updated in* [*July 2019 on Loomio*](https://www.loomio.org/d/U7LAp2CD/what-is-a-connector-time-for-evolution?q=)*.*&#x20;
{% endhint %}

They **follow** our work regularly, **support** us, spread the word and **attend** our events.&#x20;

This is the entry level of involvement within the OuiShare community. Here is what supporting members do at different milestones:

| Milestones     | Actions                                                                                                                        |

# Active Members & Connectors

## Active members

**Active members are people who contribute to and build the Ouishare community locally or globally. Their level of involvement varies from highly active on a day-to-day basis, to contributing intermittently. It may also change over time.** &#x20;

Some of the activities that active members ***may*** engage in:&#x20;

* Contribute to the [Ouishare commons](/ouishare-commons)
* Support other Ouishare members
* Represent the Ouishare brand with the endorsement of a Connector
* Shape and evolve Ouishare governance Structures

**Active members may do any or all of these things**, or others that are not on this list.&#x20;

They can step up and **become Connectors** by following [**this process.**](/guides-and-toolkits/become-a-connector)

## Connectors

#### Connectors are active members that are committed to stewarding\* and governing Ouishare and its values. They are connecting nodes of our network.

* Access occasional Ouishare events reserved for Connectors&#x20;

### Responsibilities

In addition to the activities of active members, Connectors:&#x20;

#### Required

* Steward the [Ouishare commons](https://handbook.ouishare.net/ouishare-commons#what-is-the-ouishare-commons) (which means: ensure the Commons is sustainable)
* Do what is needed to ensure that our community remains healthy and is a safe space.
* Communicate what you have been working on, in a way that suits you and your conditions, but so that other Connectors can find out about it

#### Encouraged

* Support the community to address conflict and address tensions
* Coach members on practices for using our collaboration tools and for sharing knowledge
* Shape and evolve Ouishare governance Structures

**Ouishare connectors that opt out of their role can either become active members or alumni.**&#x20;

In which way exactly the *required* and *expected* will be “enforced” in an adequate way is still being defined in a separate work stream.

# Projects

OuiShare tends to have a lot of different types of projects happening in parallel, in various locations around the world: Events, research projects, university tours, accelerators and more. Since OuiShare is a distributed organization, there is no one place where all projects are tracked. Some ways to find out what projects are going on is talking to people and following these channels:

* [**Case studies of projects** ](https://www.ouishare.net/case-studies)
* [**Subscribe to our newsletter**](http://eepurl.com/OBWbD)
* [**Join our Loomio group**](http://ouishare.loomio.org/)

# Communications

To update the world about our international activities we are using a number of channels intended for global communication.

The aim of our global communication is to:

* showcase the diversity within the network,
* give visibility to our different projects and activities,
* affirm our thought-leadership,
* share the [articles of our magazine](/communications/website/ouishare-magazine) and our [case studies](/communications/website/case-studies),
* advertise big [Ouishare events](/communications/website/ouishare-events),
* connect and interact with the wider ecosystem,
* and show the productive unity within the plurality.

As part of the [commons](/ouishare-commons) our global channels are our joint responsibility and here to benefit the community as a whole.&#x20;

The organizational role of global communications supports the community in making use of and updating the channels as well as in content production and gives guidance on communication for Ouishare projects.&#x20;

In addition to the global channels, the local communities use local channels depending on their needs, target audiences or project requirements.&#x20;

**Our Global Communication Channels include:**

* [The Website ](/communications/website)
* [Social Media ](/communications/social-media)
* [Newsletter ](/communications/newsletter)

[Here](/guides-and-toolkits/collaboration-tools) you can find an overview our collaboration tools that serve for internal communication and community management.&#x20;

**CI and Brand Guidelines**

Our brand guidelines serve to regulate how we use our logo, font, colors and other parts of our corporate identity. [In this section](/communications/brand-guidelines) you can find our CI elements, guidelines on how to use them as well as templates for things like presentations.&#x20;

# Website

The [Ouishare website](https://www.ouishare.net/) was updated in 2018. Below you can find information about the site's features, design choices and practical information on how to use it.

Active members of our community are encouraged to produce and share content through our website. The **log-ins** for the website can be found in the shared google drive in the communication folder.&#x20;

Have a look at our guidelines below and reach out to the Global Coms team if you have any questions!

## Living Content

There are three main areas with living content that are updated by the community with the support of the Global Coms team:

* [Events](/communications/website/ouishare-events)
* [Magazine](/communications/website/ouishare-magazine)
* [Case Studies](/communications/website/case-studies)

## **Subdomains**

The [OuishareFest page](https://www.ouishare.net/fest) serves as platform and portfolio of all our major event and the subdomain [Ouishare Foundation](https://handbook.ouishare.net/communications/www.ouishare.net/foundation) contains information about the Foundation that was launched in 2018.

## Languages

Our website is accessible in three languages. They can be changed via the tab on the right side at the bottom of the page.

The translations for permanent content (work w / us pages, meet us, our DNA ...) have been entered manually when we set up the new page.

Should you find any errors, you can directly enter the correct translations for Spanish and English in the tool we use (log-ins in the communication folder) or reach out to us via e-mail.&#x20;

## Website FAQ

In our [FAQ](/communications/website/faq) we tried to answer your most frequently asked questions. If you don't find your question answered there, feel free to reach out to <communication@ouishare.net>.&#x20;

# Ouishare Events

All events organized by an active members of Ouishare can be included in the [event section](https://www.ouishare.net/events).

On one hand this allows us to showcase the dynamism of the community, the diversity of topics we tackle and our presence in different parts of the world.

On the other hand, it gives visibility to the event by appearing on the homepage and thus benefiting from regular traffic on the site. On average, there are 1500 visitors per week.

In addition, if your event appears on this page, the Global Coms team can easily identify it and integrate it into the newsletter and share it on Ouishare’s [social networks](/communications/social-media).

## **Add an event**

How to add an event on the Ouishare website:

* Once you are logged (info in our gdrive) in, go to collections
* Collections - Events - +New Events
* Make sure you fill in all required files.
* Watch out. The date is in the english format. Let’s say you organize an event on the 4th of December.Then you should enter following information : 12/04/2018
* Then press Publish

**Image**

Select an image from the Ouishare Flickr library or photo stocks such as unsplash.com\
We’d recommend pictures without text. So you don’t need to make any fancy creation on photoshop/

**Trouble Shooting**

You event doesn’t appear on the homepage ? Only the next three coming events are displayed here. Your turn will come soon.

To make modifications, also go to → Collections → select you event so that you can change the picture, etc if needed.<br>

# Case Studies

How to write a Case Study?

At Ouishare we document the projects we lead for a dual purpose. On the one hand, it allows us to showcase our expertise and the networks that we are in the process of setting up for other organizations. On the other hand, it allows us to reflect on the projects we are executing: in what way do they serve the goals of the Ouishare collective? which unique skills did we utilize to demonstrate our added value? what did we learn from this experience? The [case studies](https://www.ouishare.net/case-studies) are the result of this exercise.

## **How to decide if a project deserves a case study?**

Most of the time you’ll be contacted by the Ouishare Global Coms team but as some projects are out of our scope, you may have to reach out to make sure that content will be produced about your project.

**Questions to be asked :**

* Is it evergreen content? Will it be still interesting to read it in one year ?
* Are we proud of this project ?
* Is the project aligned with our missions ? (exploring the edges, fostering unexpected and radical collaborations, questioning and experimenting with social models based on collaboration, openness, and fairness, nurturing systemic change)<br>

## **When do we start the production ?**

It is an analysis of the project, not a press release. Ideally, in the month following the end of the project. You should liaise with Hélène who will write the case study.<br>

* H6 : button (it was created for case studies, but might be useful for the magazine if we want to introduce a downloadable report for example)
* Cc : quotes in blue

### **→  Content**

**Title**\
It can be a sentence or a question. It’s the burning question behind the project. For this, better ask advice ! Someone who was not involved in the project might be in a better position to say what was interesting about it.

![](https://lh5.googleusercontent.com/c7k4OCvP8b4EvfH0Cp4vpfERhNMhAn_nez_-2eBPTBIpCPyAOSWoOhl6OG1ockH9EkGt35N2l2PWAOEcy02s2fcG321MEgdmgIxfi_1Oqi6fd1p_02j4y5opiBABlWUDZyiUEwQ9)

**Introduction**\
A quick resume of the article with the main ideas.

* Why have we worked on this project?
* Why does it make sense ?
* Why Ouishare was relevant to work on that ?
* How it is related to our missions ?
  * exploring the edges
  * fostering unexpected and radical collaborations
  * questioning and experimenting with social models based on collaboration, openness, and fairness

(one or two sentences might be enough)\
\
**Content**

* What was the project about?
* What were the expectations of the partner ?
* What have you accomplished ?
* What was the Ouishare way ?
* Which methodology have you used ?
* How did you question the original demand ?
* What was the added value of Ouishare ?
* What are the key learnings of this project?
* The what (if relevant) + the How
* What are the key learnings of the project (if relevant) ?
* What have you learned on the way?
* What were the 3 challenges of the project ?
  * Raise money, find partners, define your proposal….
  * And how did you face them?
  * What have you implemented to overcome those challenges?

**Quotes**\
You can add one or two quotes to your articles. This might be very helpful to illustrate some points such as key learning or the Ouishare way. It can also be seen as a bonus. 4 sentences is a maximum.

![](https://lh4.googleusercontent.com/wKner0Hfnouw5kNvywmyuq8V6nKNDxrLX19lHIGnVJdW5cgbdZxNF5lxDeqBciD5aPbRx_XHE9MGakVLCZkbDsA1vZ-uiCc5RHlNr4QOv2u8pbTG0tqiQc3Y6dvbTQ-h6L8SCs70)

**Signature**\
We suggest to always choose Ouishare as an author. Yet, feel free to add a contact email at the end of the article.

**Partners**\
Feel free to drop the names of all the partners you’ve worked with on the projects. We won’t allow any logos there, nor promotion for any organisation. Case studies can’t be a compensation dealt in a partnership.

### **→ Length and tone of voice**

\
Case Studies should be no longer than 10 000 characters / 2000 words (around 3 pages Word).

\
It’s a story told but still very formal. Use a neutral tone, don’t give your personal opinion on what happened.<br>

#### Right of interviewees to control their image

Testimonies must be collected with full knowledge of the purpose of the article by the interviewee. If the person does not have authority to give testimony that commits his or her organization, this must be specified, or the written consent to publication must be obtained from the competent authorities. Interviewees are entitled to have their testimony reviewed before publication. However, any modification must be made with the author's agreement.

#### Correction and modifications by the editorial team

To do this, the editorial team is in charge of finding a suitable and attractive title for the article, to write an effective excerpt while respecting the author's thought.

### Guidelines

To be published on Ouishare magazine, the contributor must respect the editorial line of the site as well as the following guidelines.

#### Checklist for contributors

An article or interview must include:

* An excerpt : a short introductory text that makes you want to read (3-4 lines max) the article or in the case of an interview, that presents the interviewee and the main themes of the interview.
* Subtitles in the article, to distinguish the different ideas
* Videos/images if relevant (text width: 700 pix)
* &#x20;Suggest a cover image (format: 16:9 or 2:1 ratio - w1280 - Please keep image under 400ko (use tinypng.com if necessary))
* &#x20;Mention of licenses (open) and credits for images (with link to the original)

The editorial team is responsible for:

* Rewrite the excerpt if necessary
* Suggest titles
* Extract sentences that will be highlighted
* Help to find a suitable cover image

### When should you publish on Medium instead of Ouishare magazine?

On the Ouishare magazine, there are three formats of content we are likely to publish :

* interviews with enlightened people from our wider network
* opinion articles
* stories of the Ouishare community in the section Inside Ouishare (announcing the programme of an event, sharing an event report, sharing projects...)&#x20;

Medium is more suitable if you'd like to:

* tell a story of your own experience (related or not to Ouishare)
* express your views using "I"

For other formats such as (photo) report, news, you may have to think of another media.

# Tips for writing an article

We'll soon share our tips with you here!

### Tips for a great interview

Ask open questions: who? why? how?

Ask simple questions.

Go with the flow, do not anticipate the next question.

"If your mouth is open, you are not listening. " Buddha. Interwieving is a listening exercice.

"Listen to understand, not to answer."

Be truly interested in what the other has to say.

## Choose a featured picture&#x20;

For more information on how to pick a picture, see below.

## Excerpt &#x20;

This is the introduction, it shouldn’t be more than 5 lines.

## Content & Formatting

Add your content in the form.&#x20;

**Happy formatting:**

* H1 : big titles (we almost don’t use it)&#x20;
* H2 : titles&#x20;
* H3 : questions in interviews & subtitles in articles&#x20;
* H4 : context elements (such as This article was translated by XX)&#x20;
* H5 : highlights ( 1 or 2 per article ) - the things that you should absolutely remember&#x20;
* H6 : button (it was created for case studies, but might be useful for the magazine if we want to introduce a downloadable report for example)&#x20;
* Cc : quotes in blue

# FAQ

#### Is there a tutorial to use the site? <a href="#undefinedis-there-a-tutorial-to-use-the-site" id="undefinedis-there-a-tutorial-to-use-the-site"></a>

YES! Check the other sections nested under "Website".

**Who has the log-ins for the Website?**

You can find the log-ins in the communication file in our team's g-drive.&#x20;

#### Can I create an event on the site by myself? <a href="#undefinedcan-i-create-an-event-on-the-site-by-myself" id="undefinedcan-i-create-an-event-on-the-site-by-myself"></a>

Yes! There are no permissions to ask. Use [this tutorial](/communications/website/ouishare-events)!

#### I have already created a Facebook event, and weezevent, why should I also create one on Ouishare's website? <a href="#undefinedi-have-already-created-a-facebook-event-and-weezevent-why-should-i-also-create-one-on-ouish" id="undefinedi-have-already-created-a-facebook-event-and-weezevent-why-should-i-also-create-one-on-ouish"></a>

To contribute to the dynamism of the community, our commons:

* Show the diversity of our activities in one place
* Bring traffic to the site by sharing the link of the event. And benefit from the serendipity. A person who arrives on the site through an event can then go discover the magazine, the case studies etc.

To benefit from Ouishare's communication:

* Have your event integrated in the NL
* Benefit from natural traffic on the site (about 1500 unique visitors per week)
* Sharing of the event on Ouishare’s social networks

#### In which language should I create my event? <a href="#undefinedin-which-language-should-i-create-my-event" id="undefinedin-which-language-should-i-create-my-event"></a>

In the language in which you want to communicate for the targeted audience. Catalan, German, English ....

#### I am launching a new project, can I host it on the site? <a href="#undefinedi-am-launching-a-new-project-can-i-host-it-on-the-site" id="undefinedi-am-launching-a-new-project-can-i-host-it-on-the-site"></a>

This feature is not available. But there are several places on the current site where you can have your project referenced:

* On the [meet us page](https://www.ouishare.net/meet-us), under the city to which the project is most attached.
* Through a[ case study](/communications/website/case-studies), once the project is finished.
* Through an [article](/communications/website/ouishare-magazine) in the category “Inside Ouishare”, you can introduce the project and link to any contents you have (project website, a video, a social media page).

#### I read an article before 2019, and I notice that the illustrations have disappeared, is this normal? <a href="#undefinedi-read-an-article-before-2019-and-i-notice-that-the-illustrations-have-disappeared-is-this" id="undefinedi-read-an-article-before-2019-and-i-notice-that-the-illustrations-have-disappeared-is-this"></a>

Yes, we have transferred all the articles but this manipulation does not allow to keep the formatting. We have selected fifty articles (the most read and the most recent) for which we have redone all the formatting.

Via the site editor, you can help restore missing links and submit artwork. Your contribution is more than welcome.

#### When can an event appear on the domain ouishare.net/fest? <a href="#undefinedwhen-can-an-event-appear-on-the-domain-ouishare-net-fest" id="undefinedwhen-can-an-event-appear-on-the-domain-ouishare-net-fest"></a>

This sub-domain is meant to be the portfolio of all major projects of Ouishare.

Below you can find the criteria to check whether your event can be featured there.

> Relationship to Ouishare

The event must be led or co-led by an Ouishare connector. It must also be co-opted by 3 other connectors. This means that these three people commit to follow the smooth running of the project, to provide advice and assistance according to the needs of the project leader.

> Scope of the project

The event must have a dedicated web page. The event must last at least one day. It must have its own editorial line.

For all other events, the "events" section of ouishare.net is more appropriate.

#### Why are events and magazine articles not translated? <a href="#undefinedwhy-are-events-and-magazine-articles-not-translated" id="undefinedwhy-are-events-and-magazine-articles-not-translated"></a>

We don’t have the workforce to translate them manually and the quality of the automatic translation doesn’t seem good enough. On top, I like that various languages are featured on the website. It’s the Ouishare mix, kind of.<br>

# Governance & Decision Making

Our governance structure has been designed to reflect our vision of an emergent organisation that is in **permanent beta** and adapts to rapidly changing environments. Influenced by concepts of self-organization, [stigmergy](https://en.wikipedia.org/wiki/Stigmergy) and distributed leadership, we aim to keep contributions models and our governance structure as organic and agile as possible.

**OuiShare is a do-ocracy**, which means that decision making is based on actions. The governance structure that exists today has been developed by a distributed team that is growing the community locally and globally.

The following pages are a guide for active members, Connectors and those who are curious to how we make strategic and day-to-day decisions in OuiShare.

# Decision making

## OuiShare's General Decision Making Principles

These principles were agreed [*here*.](https://www.loomio.org/d/AoSURHjZ/time-to-reaffirm-our-decision-making-governance-principles-)

#### # **1 Autonomy of projects & communities**

All OuiShare projects manage their budget and decisions completely independently. Their only obligation towards the organization is to contribute 10% structure costs to their local OuiShare non-profit. We rely upon the good judgement of the project leaders to know when a decision about a project could have a large impact on the rest of the organization and / or brand and thus make it necessary to consult the rest of the Connectors community before.

#### #2 **3-Connector rule**

All day-to-day decisions (that are not project related) **without impact on budget or the OuiShare brand** can be made by 3 Connectors together (arguably, this is not the case that often anymore). Example: a OuiShare meetup in a new city.

#### #3 Voting as last resort

Voting creates winners and losers and often slows things down. The tools we have chosen to make decisions are meant to enable discussions to take place in a transparent and agile way without forcing votes on all points. Only when an aspect emerges that cleary needs a decision, a vote is held.

## How decisions are made

### Decision Protocol: Lazy Consent

For formal decisions, OuiShare uses a version of [consent decision-making](https://en.wikipedia.org/wiki/Consensus_decision-making), called **Lazy** **consent,** a methodology with a specific meaning and practice.

Lazy consent means that you do not need a specific percentage of people to vote on a matter for the result to be valid. Silence is the equivalent to supporting a decision. Attention: we are using consent, not consensus, meaning that if you vote yes, that may not mean you necessarily agree, but you can live with the decision and don’t veto it.

### Decision Tool: Loomio

In OuiShare, formal decisions are made using a software tool called [Loomio](http://www.loomio.org/), which helps groups make collective decisions using constructive deliberation. This process is based on the principle that diverse perspectives can be synthesised to achieve better solutions that work for more people.

While making use of other channels (online and offline) to enrich input into a decision is strongly encouraged, the results on Loomio are considered the official outcome. This is so that we can keep a clear record and archive, and to ensure that everyone who desires to participate in a given decision-making process has the opportunity to make their voice heard.

Not every Loomio proposal constitutes a formal decision. Many Loomio proposals are created simply to gauge interest or share information. For the purposes of this Agreement, a “formal decision” is a clearly worded Loomio proposal seeking a specific mandate on behalf of the community.

## Decision Types

### Standard & Strategic Decisions

Standard and strategic decisions happen both at a local and global level, though most of the time at a local level. Since it varies by case which level a decision should be made on, **it is up to the discression of members and Connectors leading a decision to judge whether to consult a local or the global Loomio group**.

| Decision Type | Passing Criteria | Minimum time frame for voting | Description |

| Strategic Decisions | As long as there are no blocks | 5 working days on Loomio | For example partnering with other organizations for a project, applying for an EU project or moving to a new office. |

# Finance

OuiShare's annual financial reporting by year can be found in the [OuiShare Finance Report.](https://ouishare.gitbooks.io/ouishare-financial-reporting) This is where each local entity report on the annual financial budgets and what money were spent on.

This is also where you can also find information on OuiShare's funding sources.

## Budget Management

In accordance with our governance principle of [Autonomy of Communities and Projects, ](https://medium.com/ouishare-connecting-the-collaborative-economy/how-are-decisions-made-in-a-distributed-organization-7dfcdb0b73e3#.nxxphvkvx)OuiShare does not have one unified financial management and budget planning. Each local OuiShare entity manages its finances independently and contributes to one collective funding pot to finance operations and infrastructure that all communities share, regardless of location. This money that we put in a collective funding pot is part of the "global commons".

## Cobudget

In Ouishare, part of our funds are spent through a collaborative funding process.&#x20;

Read more about how we do this[ **here.** ](/guides-and-toolkits/collaboration-tools/cobudget-collaborative-funding)

## "The commons"

In OuiShare we often refer to "the commons", both locally and globally. What we mean by that is all the knowledge assets, operations, infrastructure and things such as our brand, **which all our communities share both the benefit and the responsibility to maintain**. This includes a large amount of work that is unfunded and remains volunteer work, as well as a small proportion that is funded.

[**Read here**](https://ouishare.gitbooks.io/ouishare-financial-reporting/content/2016.html) to see the detailed list of which parts of the **global commons** were funded in the past.

# OuiShare Commons

## What is the OuiShare Commons?

An ongoing conversation :).

## How to maintain it?

The OuiShare Commons is being maintained and taken care of by the entire OuiShare community. However, there are certain number of **critical activities** that have been identified, which our global operations team is in charge of managing. These are the barbone activities that needs to happen for OuiShare to keep operating smoothly on an international level and ensure minimum connectivity between communities.

# General advice for using collaboration tools

## 1. Use each tool for its defined purpose

Each tool being used in OuiShare has been introduced with a specific purpose in mind. To avoid being overwhelmed by many different tools, a new one is only added if it has a clear purpose that can be differentiated from the already existing tools.

## 2. 'Ping' relevant people

Across all tools we are using, you can use the 'ping' to get the attention of individuals that you would like to see your message. You can do that by adding an **@** before the user name of the person, which will send them a notification.

Example: @fran will send a notification to Francesca Pick.

## 3. Manage your notifications!

Look for the settings in each tool where you can **mute** notifications. Otherwise you will go crazy with too many push notifications.

# Loomio - Collaborative Decision-Making

Loomio is a collaborative decisoin making tool that is used for:

1. Key **strategic discussions**
2. Important community **announcements**
3. Consent based **decision making**

On Loomio we have several groups:

* the [main OuiShare group](https://www.loomio.org/g/inO27e3f/ouishare), which is public and accessible to all members upon request
* **local sub-groups** for local communities who are more active&#x20;
* a **closed sub-group for Connectors** only where decisions on budget and strategy are made. Read more about [how we make decisions.](https://handbook.ouishare.net/~/drafts/-LSyIc013kEttAkSD1Sg/primary/governance-and-decision-making/decision-making)

## Getting access

To get access to our main loomio group, [request access here](https://www.loomio.org/g/inO27e3f/ouishare). As your local Connectors to get access to the local loomio sub-groups. ![](https://3617654735-files.gitbook.io/~/files/v0/b/gitbook-legacy-files/o/assets%2F-LAxF1H7lVJjgl35pXXb%2F-LAxF6XnuGpNiwN5QKgw%2F-LAxFGZ73eO7zxpIEqTs%2Floomio.png?generation=1524667325922969\&alt=media)

# Slack - team communication

## Slack - Team Communication

Slack is used for private and group discussions as well as cross-community coordination in OuiShare, on a very **operational** basis. Discussions that need more time and are strategic do not take place on slack, but on Loomio.

![](https://3617654735-files.gitbook.io/~/files/v0/b/gitbook-legacy-files/o/assets%2F-LAxF1H7lVJjgl35pXXb%2F-LAxF6XnuGpNiwN5QKgw%2F-LAxFKeAYZr7PF9Y4-La%2Fslack.png?generation=1524667343014291\&alt=media)

## How does Slack work?

Slack consists of:

**Channels:** the equivalent of an email thread or a discussion about a defined topic.

* each local community and project has its own slack channel. They often have multiple that are defined by a prefix, such as *bcn* for the Barcelona community, *mtl \_for the montreal community*, osf \_for OuiShare Fest.
* the number of channels is not limited. Anyone can create as many as they want!
* Some useful channels to know about:
  * \#how-to: for any type of question
  * \#tech: to report problems with our website and tech-related issues

**Direct messages:** enables you to communicate privately with all Amanitas team members

S\_lack replaces internal emails within the OuiShare community. \_Do not hesitate to contact anyone who is on the OuiShare slack team by direct message, even if you don't know them yet!

Many OuiShare projects are run with the combination of a Slack channel and a trello board.

* [general introduction tutorial](https://www.youtube.com/watch?v=T9T7CDngkV4)
* [extensive tutorial with tips and tricks](https://youtu.be/v3SjMoiKTro)

## Getting Access

Slack is only accessible to Connectors and active OuiShare members who are working on projects. To get access, ask a local Connector or project leader.

#### Types of membership roles in slack

* Full members: have access to all channels and can add new members. All Connectors are full members, and any active member who would like can also be a full member.&#x20;
* Restricted members: only have access to channels that they were added to by a full member. Members who are less active and do not want to be overflowed with too much information may choose to be restricted members. &#x20;
* Guests: new local members who are only on one channel related to their local community.

**If you have a ouishare email address, you can automatically join our slack team by signing up with your ouishare address and going to** [**http://ouishare.slack.com**](http://ouishare.slack.com/)

#### Slack Admins

Most community connectors and project leaders are slack admins. If a change needs to be made that you don't know how to make, contact one of our [slack admins here.](https://ouishare.slack.com/team)

# Cobudget - Collaborative Funding

How Ouishare is using Cobudget.

[**Cobudget**](http://cobudget.co) is a tool that our community uses for **collaborative and transparent resource allocation**.&#x20;

Any active OuiShare member can get access, propose and comment on project ideas, and fund activities they would like to support.

#### [See a 3 min summary of how Ouishare is using Cobudget](https://docs.google.com/presentation/d/1YcAo828PMcOnLqFshTWiC_S7XKwGQd19LZkxcEygNjc/edit#slide=id.g38b7d4abbb_0_31) [**here.** ](https://docs.google.com/presentation/d/1YcAo828PMcOnLqFshTWiC_S7XKwGQd19LZkxcEygNjc/edit#slide=id.g38b7d4abbb_0_31)

![](https://3617654735-files.gitbook.io/~/files/v0/b/gitbook-legacy-files/o/assets%2F-LAxF1H7lVJjgl35pXXb%2F-LAxF6XnuGpNiwN5QKgw%2F-LAxFGQff7vbSxV0CLId%2Fouishare2cobudget.png?generation=1524667325562051\&alt=media)

## How does Cobudget it work?

Cobudget is a simple tool based on the concepts of "buckets", which represent budget lines or mini-projects. The tools makes it easy for groups to crowdsource ideas for buckets and then fund them together.

* [**The basic features**](https://guide.cobudget.co/cobudget-basics)
* [**Guide to writing great bucket proposals**](https://guide.cobudget.co/guides-and-how-to/making-great-buckets)
* [**Group Setup & Admin**](https://guide.cobudget.co/guides-and-how-to/group-admin-guide)

## What types of buckets can I propose in the Ouishare Cobudget?

We are using our main Cobudget group to fund any projects that contribute to Ouishare’s misison as a non-profit and growing our commons, such as:

* Community activities, shared resources and infrastructure
* Content production and events that are publicly available
* Early stage projects & prototypes to develop our work and the organization

### What can I not propose?&#x20;

Buckets that are not aligned with Ouishare's mission and values and do not advance its purpose as a non-profit.&#x20;

## Getting access to Cobudget

Any one who would like can join our Cobudget group. Get access to the [OuiShare Cobudget](http://cobudget.co/#/groups/80) by asking a Connector or member you are in touch with.

If you are already a Connector, you should already have been added to our cobudget group.

## How can I add funds to my Cobudget account?&#x20;

Funds enter Cobudget through donation of personal funds. In many cases, people choose to give back a % of income made through a Ouishare project.

You can add funds to your account by making a **donation to the Ouishare Non-Profit in Spain** (our fiscal host for or global cobudget group) **through** [**Open Collective**](https://opencollective.com/ouishare)**,** a platform that helps you collect funds in a transparent wa&#x79;**.** You can make one-time or recurring donations through Open Collective, by choosing a membership type or selecting a custom donation. Once you make the payment through the platform, you will automatically **receive a pdf receipt** from Open Collective. To be able to provide more flexibility to the community in what is funded through Cobudget, **these contributions are no longer tax deductible.**&#x20;

[**>> Add funds now**](https://opencollective.com/ouishare)

![](https://3617654735-files.gitbook.io/~/files/v0/b/gitbook-legacy-files/o/assets%2F-LAxF1H7lVJjgl35pXXb%2F-MZSC2MlvLYo8lzY0h_d%2F-MZSCzY7Qe9zJMACeMhh%2Fimage.png?alt=media\&token=9bfe1f14-7840-4151-8cc0-2eaaa7568b54)

## What happens if a bucket I funded is cancelled?&#x20;

Then the funds you contributed will automatically go back to your account. You can then allocate them to another bucket of your choice, any time you like.&#x20;

## My bucket has been funded, how do I get paid out?&#x20;

Once your bucket has been funded, you will receive a follow up email, prompting you to send your invoice to the Ouishare France administrator. You will then receive the funds via bank transfer.

Here is an overview of the steps:&#x20;

1. **Send your invoice**\
   To get paid, please send an invoice promptly to the following address:\
   Ouishare Association\
   7 Rue Castellane\
   75008 Paris\
   Please be aware that all funds raised on Cobudget are VAT **inclusive**. If you need to charge VAT, then you must deduct it from the amount you raised on Cobudget.<br>
2. **Feedback & Report back:** Once you have received the funds and the project is complete, we will ask you to send us feedback and an assessment of your projects impact, to be able to share it back with the community.

# Google Drive

Google Drive allows live collaboration on documents, presentations and spreadsheets. This is where you can find all of OuiShare's most important documents, whether they are work-in-progress or finalized.

![](https://3617654735-files.gitbook.io/~/files/v0/b/gitbook-legacy-files/o/assets%2F-LAxF1H7lVJjgl35pXXb%2F-LAxF6XnuGpNiwN5QKgw%2F-LAxFKpdgJJ98ABJr3Ep%2Fgdrive.png?generation=1524667349373434\&alt=media)

## Our Drive Structure

We have 2 main google drive folders:

* **OuiShare Global:** this is where 95% of our documents are stored. All active members can be given editing access to it.
* **OuiShare Connectors-only:** this is where the remaining 5 % of sensitive documents are, such as financial information, admin, and partnerships. Only OuiShare Connectors have access to this.&#x20;

## Naming documents: Observe and imitate!

If you go to the google drive, you will see that there are already many files with a defined naming structure. Please try to avoid re-inventing new ways of naming files, but copy the existing naming structure as much as possible.

## Getting Access

The OuiShare Global folder is view-only for people who have not been deliberately added. To get editing access to it, ask a OuiShare Connector you are in touch with to add you.

# Calender, Telegram & more

All OuiShare activities such as events or meetings can be listed in a set of several [**Google event calendars**](http://ouiki.ouishare.net/index.php?title=Google_event_calendar). With a Google account you will be able to import these calendars into your personal one. The following calendars are currently in use (please add any missing info):

* global
  * OS Events (ID: \[<rcfjliu470gq38bg0vuc8fdouk@group.calendar.google.com>])
  * OS Hangouts (ID: \[<nu8curbostechldvfr7b4qfd50@group.calendar.google.com>])

If you would like **editing access** to any of these calenders, ask any OuiShare Connector to add you manually.

## Telegram

OuiShare uses Telegram for **informal conversations** such as:

* sharing photos of meetings, celebrating together
* sharing interesting content such as articles, videos etc.&#x20;
* on the ground coordination between people in the same location, for instance coordinating dinner plans when people are at a retreat together.&#x20;

There are a variety of local and topical telegram groups. To find out which ones are currently active, ask a local member or Connector!

## **Facebook**

All Connectors are added to the [Facebook-Group "OuiShare Connectors"](https://www.facebook.com/groups/OuiShare.Connectors/) when they join, a group that was formely used for decision making, but after introducing [Loomio](https://www.loomio.org/g/inO27e3f/ouishare), it is now mainly used for connecting, emotions and sharing fun stuff (but becoming increasingly less active).

# Administration & Finance

Whether you are working on a OuiShare project as a volunteer, a paid contributor or are leading a new activity in the network, there are important basic admin procedures you need to know.

Each [OuiShare Entity ](/ouishare-legal-entities)has its own admin procedures, so make sure you find the processes from the entity your project is running through.

# Become a Connector

**Connectors are members who have been contributing to OuiShare and wish to get more involved in the organization.** Following the principle of do-ocracy, Connectors are appointed based on actions. The enrollment process follows the **333 Rule**:

Connectors to-be go through a **3-month take-off period** after declaring their intent to become a Connector, during which they voluntarily contribute to specific activities (development of physical communities, online communities, or topical projects; writing/research, etc.).

**Future Connectors must demonstrate that they meet the following 3 acceptance criteria during their take-off period:**

* taken leadership/shown results on the activities they committed to
* clear objectives for their involvement as a Connector over the next 6 months, expressed in a letter of intent (usually a shared online document)
* cultural fit with the team (which means there is no strong objection/veto from any other Connector to the persons' appointment)

Future Connectors are **endorsed by any 3 other Connectors** who will work with them during the take-off period, based on the 3 criteria listed above. Connectors who support a new Connector are responsible for helping this person integrate into the team and the OuiShare organizational processes.

Though exceptions can be made, it is strongly advised that Future Connectors attend at least one OuiShare Summit before starting, or during their take-off period.

Here are the different phases of a Connector journey:

* [Enrollment process](/guides-and-toolkits/become-a-connector#enrollment)
* [End of Connector status](/guides-and-toolkits/become-a-connector#end-connector-status)
* [Alumni Connectors status](/guides-and-toolkits/become-a-connector#alumni-connectors)

## Enrollment process <a href="#enrollment" id="enrollment"></a>

### Step #1 | Become an active member

Future Connectors have to be first [active members](https://handbook.ouishare.net/people/active-members).

### Step #2 | Find your 3 supporting Connectors

Future Connectors look for their 3 supporting Connectors, and express their intent to start their 3-month take-off period by choosing activities they want to be involved with. These intentions are shared by sponsoring Connectors in Slack channels.

### Step #3 | Select the supporting Connector who will onboard you

To guide you through this process and make sure you are onboarded onto all necessary channels, you must select one of your supporting Connectors to be your official "onboarder". And make sure they know you have chosen them and that they know about the[ onboarding guide.](/guides-and-toolkits/onboarding-of-connectors-and-members)

### **Step #4 | Accessing communication tools**

Sponsoring Connectors grant access to communication and operational platforms, and introduce Future Connectors.

### Step #5 | Introducing yourself

At the end of the take-off period, the 3 Connectors endorsing the Future Connector make an announcement in the Loomio thread and Slack channel (in a video previously made by the Future Connector), stating that the criteria were met. The video's ideal duration is one minute, and should contain what the Future Connector worked on and wants to work on next.

### Step #5 | Welcome!

If there is no veto, the new Connector is added to the decision-making platforms for Connectors.

## End of Connector status <a href="#end-connector-status" id="end-connector-status"></a>

The Connector status remains active as long as the person remains active.

**The Connector status can be ended if/when:**

* The Connector deliberately choses to put a hold on his/her commitment (and does not wish to commit to any activities for the next 6 months);
* The Connector did not deliver on his or her statement of intent without any clear and reasonable explanation;
* The Connector has not attended 2 OuiShare Summits in a row (without good reason),

  **or**

  not contributed to any online conversations in over 3 months. Of course it will be taken into account that Connectors from outside of Europe may not be able to attend Summits regularly.

The decision announcement will be made by the Connector himself/herself.

Like for members, OuiShare reserves the right to revoke a Connector status if a person acts against the best interests of the organization, mission and values, is disrespectful towards other members.

## Alumni Connectors status <a href="#alumni-connectors" id="alumni-connectors"></a>

Unless a Connector's status is revoked for one of the above reasons, all Connectors become Alumni Connectors when they stop their activity. They are mentioned as such on a dedicated part of the website, and hold the rights of members from at point on.

Since people's professional or personal circumstances are subject to frequent change, we recognize the importance of accommodating dynamic, "liquid" involvement. Therefore Alumni Connectors **reserve the right to restart their activity as a Connector at any time**, by simply getting active again.

# Onboarding of Connectors & Members

Onboarding in OuiShare is distributed. The endorsing (=sponsoring) Connectors play an important part in this process.

## Onboarding new Connectors

New Connectors are onboarded by one of their endorsing Connectors. Here are the steps to be followed for the endorsing Connector onboarding somebody new:

### 5 **Steps to onboarding a new Connector**&#x20;

Once the person has given you their [letter of intent, identified their 3 endorsing Connectors and the kick-off phase ](https://ouishare.gitbooks.io/ouishare-handbook/content/guides-and-toolkits/become-a-connector.html)is over.

1. **Ask them for a 1-3 min video** about themselves, to introduce them in the Connectors Facebook group to the other Connectors. This is just a very informal video to say hi that can be made with a phone. See some examples.&#x20;
2. **Add them to the** [**OuiShare Connectors Dashboard.**](https://docs.google.com/spreadsheets/d/1zGaWl32hchlWvaEi36ri2kvYVgjjg_Zp3qmIcZsPWlQ/edit#gid=2)
3. **Complete the check-list on the dashboard** to ensure the person has been added to all [Collaboration Tools](https://ouishare.gitbooks.io/ouishare-handbook/content/collaboration-tools.html). Since they might already be on many of the tools, make sure not to overlook:
   1\.
   1. Loomio Groups that are for Connectors only.
   2. Add them to the "group" on slack "Connectors" (groups are different than channels).
   3. Add them to the [Connectors page](https://www.ouishare.net/active-members) on the website: send an email to <communication@ouishare.net> with a good quality picture, and their Twitter and Linkedin account details.
4. **Introduce them in the OuiShare Connectors** [**Loomio thread for welcoming.**](https://www.loomio.org/d/HvgoB8JU/new-connectors-welcoming-?group_key=inO27e3f\&status=closed)
5. Send the new Connectors this [**welcoming message for new Connectors**](https://docs.google.com/document/d/1vXugZvc27uW2fb-lWMKfdTxvYYbC_rrqvGF-_m0d5to/edit)

That's it!
